SUMMARY

We are seeking a detail-oriented Commercial Property Manager to oversee the day-to-day operations of our retail and office property portfolio. We welcome candidates with paralegal, bookkeeping, or executive assistant experience who are looking to apply their skills in the commercial real estate sector. This position requires a unique combination of financial acumen (budgeting, accounting, reconciliations, billing, collections, etc), legal document proficiency, and interpersonal skills. The ideal candidate will have a strong background in budgeting and reconciliation, excellent attention to detail, and the ability to navigate complex lease agreements and vendor contracts.

DUTIES
  • Manage all aspects of commercial lease agreements for retail and office properties, including lease administration, renewals, amendments, and terminations
  • Prepare, monitor, and reconcile property budgets, ensuring accuracy and alignment with financial objectives
  • Coordinate and oversee vendor contracts, service agreements, and property maintenance activities
  • Review and process tenant billing, common area maintenance (CAM) reconciliations, and operating expense recoveries
  • Maintain comprehensive and organized property files, including leases, legal documents, correspondence, and financial records
  • Serve as primary point of contact for tenants, addressing inquiries, concerns, and requests in a timely and professional manner
  • Collaborate with legal counsel, accountants, and other professionals on lease-related matters and property transactions
  • Conduct regular property inspections to ensure compliance with lease terms and property standards
  • Prepare detailed reports, correspondence, and presentations for ownership and stakeholders
  • Monitor critical dates and deadlines, including lease expirations, option periods, and rent escalations
  • Coordinate tenant improvements, construction projects, and space modifications in accordance with lease provisions
REQUIREMENTS
  • Minimum 2-3 years of experience in paralegal work, bookkeeping, executive administration, or related field
  • Strong understanding of commercial real estate lease agreements, with preference for retail and office property experience
  • Demonstrated budgeting and financial reconciliation experience
  • Proficiency with lease administration software and property management systems (experience with Yardi, MRI, or similar platforms preferred)
  • Advanced skills in Microsoft Office Suite, particularly Excel for financial analysis and reporting
  • Excellent written and verbal communication skills
  • Proven ability to manage multiple priorities and meet deadlines without compromising quality
  • High level of accuracy and attention to detail in all work products
  • Ability to read, interpret, and analyze legal documents and contracts
  • Valid driver's license and reliable transportation for property visits
